Mapping processes & activities to products, services & other critical objectives
In all organizations, products, services and other critical objectives are supported by a range of processes or activities that must be fully functioning and available for these critical objectives to continue to be delivered in an uninterrupted fashion. These processes or activities are in turn supported by the organization's assets and resources. All these operational components must be mapped to each other using the BCMS mapping process, to examine the affect and consequences of an interruption to any one component. The level of dependency that one component has to each mapped component should also be assessed and recorded. This enables the BIA values to be calculated accordingly.
The purpose of this mapping activity is to link products, services or other critical objectives to processes & activities. Click the "Mapped" icon to view BIA components mapped to the selected critical objective. In Module 3, click on the "Map key processes to selected critical objective" button. In the pop-up that appears, processes or activities that have already been mapped to the selected product, service or other critical objective are displayed in the left hand list box.
The full list of processes or activities are displayed in the right hand list box. The processes or activities that have already been set up in Module 4 are already listed here. This list box supports the linking of key processes or activities to the selected product, service or other critical objective as part of the mapping process. The dropdown at the top of the list box supports filtering of the full list of processes or activities by process type. This allows easier viewing of substantial numbers of processes or activities as would probably apply to larger organizations. Click the dropdown to select the process type you wish to view. The default display is "All processes and activities". Use the top arrow to add processes or activities to the "Mapped key processes" list box. Use the lower arrow to remove processes from the "Mapped key processes" list box.
Mapping processes or activities to products, services or other critical objectives
The purpose of this mapping activity is to link products, services or other critical objectives to processes or activities. Clicking the "?" next to left of the "Map processes & activities to critical objectives" button (located on the right hand side of the screen) will access further guidance on these activities. Click the "Mapped" icon to view BIA components mapped to the selected critical objective.
Add a new process or activity
During the mapping process, where the User needs to add a new process or activity it can be done from within module 3. Clicking the "+" button at the foot of the Key Process or activity list box in module 3, opens up a pop-up window that allows the User to add a new process and assign a process type code. To add a new process or activity, enter the new process name in the pop-up window, and click the "Save" button. The list of key processes will be immediately updated.
Delete selected process or activity
To delete an existing process, select the required record and click the delete button. If the process does not have existing mapped relationships then a pop-up will appear asking you to confirm this action. If the process or activity has one or more existing mapped relationships then a warning message will appear and these will need to be cleared before the deletion process can be completed. Mapped relationships are usually cleared through the mapping (out) arrows.
Edit selected process or activity
To make changes to the name or type of a selected process, click the "Edit" button and a new pop-up will appear. Type in or correct the process name and / or change the process type, then click the "Save" button and the record will be automatically updated in the list box.
Understanding RTO, MTPD & criticality values
Each product and service or other critical objective will have an RTO, MTPD and criticality value once this has been set up in the BIA area. Click the BIA icon to access the BIA area and click the "?" in that area to learn more about setting the BIA values. Through the mapping process, these BIA values are transferred to the mapped process or activity with adjustments for dependency level.
